What we collect, why we collect it, and who gets to see it. Written for parents in plain language, because a policy nobody reads protects nobody.

1What this policy covers
This policy explains what Visku Academy collects when you use the website and the accounts on it, why we collect it, who can see it and how long we keep it.
It covers learner accounts, parent accounts and administrator accounts, and it applies to everything on this website. It is written to be read by a parent, not by a lawyer.
2What we collect
We collect only what the service needs in order to work. There is no advertising network on this site and no tracking pixels following you around the internet.
- Account details: full name, email address, password (stored only as a secure hash), and role. Parents also give a mobile number so that payment prompts can reach them.
- Learning details: the grade or form selected, and optionally a school name.
- Progress and results: which lessons were opened, how long was spent on them, quiz scores, the individual answers given, and the study advice generated from them.
- Linking information: the 6-digit code used to connect a parent account to a learner account, and the resulting link.
- Billing records: the plan chosen, the amounts charged in Kwacha, the dates, and whether a payment succeeded or failed.
- Support messages: anything you send through the contact form, including your name, email, optional phone number, topic and message.
- Basic technical information needed to keep an account signed in and to keep the service secure.
3Why we use it
Each of the things we collect maps to something the service actually does.
- To create your account, sign you in and keep you signed in.
- To show the right lessons, quizzes and past papers for the level chosen.
- To mark quizzes, work out weak and strong topics, and produce the next study step.
- To show a linked parent what their child has done.
- To take payment in Kwacha, issue receipts and manage the subscription.
- To answer support messages and notify administrators that a message has arrived.
- To find and fix faults, and to protect accounts from misuse.
4Who can see a learner record
A learner sees their own record. A parent sees the record of a child linked to their account, and that link is only created when the child enters the parent's 6-digit code. Nothing is shared with a parent who is not linked.
A linked parent can see lessons opened, time spent, quiz scores, the answers given and the study advice produced. This is deliberate: the point of the parent account is that the record is visible, not summarised.
Our administrators can see account and billing records where it is necessary to run the service or answer a support request. We do not sell personal data, and we do not share it with advertisers or data brokers.
We use a small number of service providers to host the site, store data and process payments. They act on our instructions and only for the purposes above. We would also disclose data where the law requires it of us.
5Payment information
We do not store card numbers, card security codes or mobile money PINs on our systems. Card and mobile money details are handled by the payment provider that processes the transaction.
What we keep is the record of the transaction: the plan, the Kwacha amount, the date, the method used, and whether it succeeded. That is what is needed for receipts, refunds and answering billing questions.
7How long we keep things
We keep account details and learning progress for as long as the account is open, because progress over time is the point of the record.
When an account is closed we delete or anonymise its personal data within 90 days, except for billing records, which we keep for as long as tax and accounting obligations require.
Support messages are kept for two years so that we can follow the history of an issue, and are then deleted.
8Children's privacy
This service is designed for school-age learners, including very young children in Early Childhood Education. A child may only use it with the consent of a parent or legal guardian.
We collect the minimum from a learner: a name, an email address, a level, and the record of their own work. We do not ask children for a home address, a national registration number, or a photograph, and there is no public profile, no messaging between users and no advertising anywhere in the learner experience.
A parent or guardian can ask to see, correct or delete a child record at any time by writing to us from the email address on the parent account.
9Your choices
You can see and change most of your details from your dashboard. For anything else, write to us and we will act on it.
- Ask for a copy of the personal data we hold about you or your child.
- Ask us to correct anything that is wrong.
- Ask us to delete an account and the personal data attached to it.
- Unlink a parent account from a learner account.
- Turn off non-essential notifications from within the dashboard.
10Security
Passwords are stored as salted hashes and never in a readable form, connections to the site are encrypted, and access to production data is limited to the people who need it to do their work.
No system is perfectly secure. If a breach ever affected your data, we would tell the people affected and explain plainly what happened and what to do about it.
11Changes to this policy
If we change how we handle personal data we will update this page and change the date at the top. Where a change is significant we will also notify account holders directly rather than relying on you to notice.
12How to contact us
